How to Create an Instagram Business Account

A useful clarification: Instagram has no 'pages' like Facebook or LinkedIn. The business setting is often buried three menus deep — and without it you lack useful insights, contact buttons, and a real base for Meta ads.

Account ready? An AI social media manager helps keep Reels and carousels on a calendar while you stay in the comments.

In short

What is an Instagram professional account?

An Instagram professional account is a normal account switched to Professional mode, Business category. It unlocks insights, profile contact details, Facebook Page linking, and Meta publishing/ads tools. It is not a separate 'page' — it is the same profile with business rights enabled.

Why switch to professional (instead of staying personal)

A personal account can publish. It will not tell you what works, or let a customer contact you in one tap. Three signals you should switch now:

  • •You represent a brand/company, not a private person
  • •You want a clickable link, email, or directions on the profile
  • •You plan to publish regularly or run Meta ads

Tip

If an account already uses the brand name, do not create a second one. Switch the existing account. Duplicates split your audience and confuse customers.

Before you start: what to prepare

Five minutes of prep prevents getting stuck mid-flow.

  • •Work email: shared alias (`social@…`), not a personal inbox
  • •Logo: square, readable tiny (~110 px on mobile)
  • •Bio: who / for whom / next step — 150 characters max
  • •@username: close to the brand, checked available first
  • •Facebook Page (optional): admin access ready if you want to link it

Create the account step by step

Each step matches an app screen. You can paste a screenshot under each step title.

Step 1 — Create the account with the company email

Download Instagram (or open instagram.com) → Create account. Sign up with the company email, not a personal phone hard to share with a team.

Confirm the code, set a strong password, and store it in a shared password manager.

Step 2 — Choose a clear @ and Name

The @ is your public address. Prefer `@yourbrand` (or a short suffix if taken). Avoid random digits and obscure abbreviations.

The Name field (under the @) can hold a searchable keyword — e.g. 'Bakery — Brussels'. Instagram indexes it too.

Step 3 — Logo + bio + link

Add the logo as avatar. Check it tiny: if text disappears, use the symbol alone.

In the bio: who you are → who you help → action. Add the website link (or link-in-bio) now. A profile with no link converts poorly.

Step 4 — Open Account type and tools

Profile → menu (☰) → Settings and activity → Account type and tools. This is where Instagram hides the business switch (wording varies by app version).

If you do not see the option: update the app, or check you are not already on Creator/Professional.

Step 5 — Switch to professional (Business)

Choose Switch to professional account, then Business — not Creator, unless you are a solo personality/media brand. Business aligns better with Facebook and Meta Business Suite.

Pick the category closest to your activity. It shows on the profile and helps Instagram classify the account.

Step 6 — Contact details and Facebook link

Add email, phone, address if you want Contact / Directions buttons. Optional, but reassuring for local customers.

If you have a Facebook Page, accept the link: cross-posting, Meta ads, and Meta Business Suite get easier. Otherwise continue — you can link later.

Optimize right after creation

The account exists; an empty profile does not convert. On Instagram, the grid and highlights are the storefront.

The essentials

  • •Bio: keywords + promise + action
  • •@ and Name: clear brand + keyword in Name
  • •Avatar: logo readable at thumbnail size
  • •Link: website, booking, or link-in-bio

Go further

  • •3–5 highlights (Offers, FAQ, Reviews, Behind the scenes) with matching covers
  • •Contact buttons matched to your model
  • •3 posts + 1 Reel before promoting the handle
  • •Team access via Meta Business Suite — not the Instagram password in plain text

Key takeaways

  • •On Instagram it is a professional account, not a 'page'
  • •Create with a work email, then switch to Business
  • •Prepare @, logo, bio, and link before you start
  • •Link Facebook to publish and advertise more easily
  • •Publish a few pieces of content before promoting the account

Frequently asked questions

Do I need a Facebook Page for an Instagram professional account?

No — it is no longer required to switch. Linking remains recommended for Meta ads and Meta Business Suite.

Creator or Business?

For a company, choose Business. Creator fits personalities and solo media. Both unlock insights; Business integrates better with Facebook.

Can I switch an existing personal account?

Yes — and you should if it already uses the brand and has followers. Account type and tools → Switch to professional account.

How many people should have access?

At least two trusted people, via Meta Business Suite or a shared password vault. A single owner is an operational risk.
